Who may borrow?

Those with Associate Membership - Borrowing and Electronic Access are given a Library photo ID card which they may use to:

  • borrow from the Philson Library
  • borrow from any other University of Auckland (UoA) Library
  • request to borrow books held elsewhere in NZ or overseas

A Library card is required for all borrowing, please bring it with you every time you visit the library. If you don't have a Library card and wish to borrow, click here.

Going away, moving, or changing work address?
Please notify Lending Staff of any of the following:

  • Change of address or contact details e.g. home/work address, phone or email.
  • If you are going on leave or working away from your normal workplace please return all items you have borrowed, in case other readers need them.
  • If you use an email address regularly, please tell us so that we can use it to send you recalls or overdue notices.

Library privileges and membership types

No membership - ALL ADHB employees may-

  • Access ADHB Library Links electronic resources from an ADHB networked computer
  • Request the supply of work related full text articles
  • Get help from Information Services (Subject Librarians) with literature searching, database training, etc.
  • Visit the Philson Library

Associate Membership - Borrowing and Electronic Access: apply here

  • As above, PLUS
  • Home/Off-site access to ADHB Library Links electronic resources (except UpToDate)
  • Access to the full UoA Library electronic resources from the computers in the Philson Library
  • Ability to borrow materials (e.g.books) from the Philson Library or other UoA Libraries; and request books held elsewhere in NZ or overseas. Borrowed items may be sent to your departmental address by arrangement.

 Apply for Associate Membership - Borrowing and Electronic Access

  • Visit the Philson Library during business hours (8:30am-5:30pm Monday - Friday) with your current ADHB photo ID card. Registration outside these hours requires prior arrangement with the Philson Library Manager, Ms Megan Clark ph. 09 923 6130.

  • If you cannot come to Philson, please email adhblibrarylinks@auckland.ac.nz.

  • Complete the Library Associate Membership form, or collect form from the Lending Desk in the Philson Library . NOTE: You must agree to abide by the University of Auckland Library Statute

  • You will be photographed by Library staff unless you have brought a suitable passport photo with you.

What next?

  • Your Library ID card and your UoA User name (NetID) will be posted to your home address, usually within 10 working days.

  • To get your associated UoA password (which enables you to login) please call Philson Library on 09 923 5532 or tie-line (9090) x.85532. You may change your UoA password.
  • If you need to borrow before your Library card arrives, a tempory card may be issued for use in Philson Library (but not other University of Auckland libraries), as soon as your application has been authorised.

  • If you need to access the University electronic resources within the Philson Library before your UoA login details are issued please contact Lending desk staff.
  • Associate Membership is valid for twelve months or until the expiry date of your ADHB ID card or clinical attachment – whichever is first. Renewal does not require full re-registration, but does require proof of current ADHB employment.
  • Remember to bring your library ID card and UoA login details (User name /NetID and password) with you every time you visit the library.


 Apply for Associate Membership - Electronic Access Only

This membership type has been created for those who do not need to borrow (e.g.books) and/or find it difficult to get to the Philson Library to register.

What next?

  • Applications are normally processed by 5pm the next working day.
  • A letter containing your UoA User name (NetID) will be posted to your home address
  • To get your associated UoA password (which enables you to login) please call Philson Library on 09 923 5532 or tie-line (9090) x.85532. You may change your UoA password.
  • Associate Membership is valid for 12 months, OR until the expiry date of your ADHB ID card or clinical attachment - whichever comes first.
  • Remember to bring your Library ID card and UoA login details (User name /NetID and password) with you every time you visit the library.

Computers and Internet access

  • Information Commons facilities are intended for University students and staff only, and should only be accessed by ADHB Associate Members to top up printing or photocopying quota on their NetAccount.

  • Access to non-library e-resources and websites is NOT available under the terms of contract between the University Library and ADHB. Please do not add funds to the internet credit / IP quota component of your Net Account.

What are the responsibilities of Associate membership?

  • You must not share your UoA login details (User name/NetID and password) with anyone else

  • Lost cards must be reported at once to the Philson Library

  • You must let Philson Library know if you resign from your position at ADHB


Renewing your Associate Membership - either type

  • Complete the Library Associate Membership form, ticking box beside the desired membership type, and selecting Renewal. Note: You must agree to abide by the University of Auckland Library Statute
  • Provide a photocopy of your in-date (check the expiry date) ADHB ID card. Library staff will photocopy this if you come into the Philson Library to re-register.
  • Post/internal mail, email or hand-in your application (completed form and photocopy of ADHB ID) to the Lending Services Librarian
  • Please keep your Library ID card, if you have one, as these cards are used for up to 6 years and replacements cost $10.

Loan Periods

All items are lent under the conditions of  the University of Auckland Library Regulations.  Note that recalled books must be returned by the revised due date. 

Books , CDs and Theses
May be borrowed for 28 days.
The Library also holds a Reference only copy of most theses.

Journals/Serials
Most Philson journals may not be borrowed.  When they can, the loan period is 7 days. 

Short Loan Collection

  • Heavily used items are on Short Loan.

  • Short Loan items are issued for 2 hours (1 hour if in high demand).

  • Please return them to the Short Loan returns bin at the Lending Desk.

  • Items may be reserved up to a day in advance.

  • Overnight loans: Short Loan items are available for overnight loan from 2 hours before closing. They must be returned within half an hour of opening the next working day.

  • Fines for late return of short loan items are $3.00 per hour.

New Zealand Reference Collection
As for short loan.
To be used in the Library only.

Videos
Usually 7 days.

Locating Material
Use Voyager, the Library's catalogue, to find out whether we hold a book title or journal/serial title, as well as other material such as videos and theses. For books, note the call number which indicates where the book is shelved. Journals are shelved alphabetically by the journal title.

When you locate material on Voyager which is on loan to another borrower
If an item listed on Voyager is on loan, you may recall it.

Material from other University of Auckland Libraries
You can borrow from other University of Auckland libraries in person. Please have your University Library ID card with you. If you have located material on Voyager which is available but held in another Library, you can also use the Recall / Intercampus button on the Voyager record to have the book sent to the Philson Library for you to collect. You can also use the Document Delivery service to request that item.

Material from outside the University of Auckland
ADHB staff may obtain items not held in any University of Auckland Library by filling out a request form (electronic or printed) - see Document Delivery for more information. 

Returning and Renewing
To be fair to all readers, material borrowed from the Library must be returned or renewed by the date stamped inside the front of each book or serial. Fines will be charged for late returns.

Renewals

  • 7 Day loan (borrowable journals, videos, etc.) and 2hr Short Loan items may not be renewed and must be returned by the due date/time given

You may renew other items ONCE unless they have been recalled by another borrower. Items may be renewed in the following ways:

  • Either by presenting your library ID card at the Lending Desk (i.e. you do not need to bring the items to the library),

  • Or, by using the Patron function on Voyager.

We are unable to accept telephone renewals.

If you require the book after the end of the renewed loan period you must return the item(s) and have it re-issued to you. This must be done in person and is only possible if no one has requested/ recalled the item.

Recalls

  • You may recall an item currently on loan to another borrower by using the Recalls/Intercampus tab on Voyager (the catalogue). You will be notified when the item is available via email or letter (depending on how you receive library notices).

  • Similarly, another borrower may recall items you have on loan.

  • A recall notice will always be sent to notify you of the new (earlier) due date. The recall date overrides the due date stamped in the book.

  • Overdue recalls are charged at $3.00 per day.

Returning items to the Philson Library

  • Books from any University of Auckland library may be returned to  the Philson Library (the returns bin is located at the Lending Desk). 

  • We recommend you return items in person.

  • If the item becomes overdue or lost in transit, fines will be incurred by the borrower.

  • When returning videos in person, please hand them in at the Lending Desk.

Please note that the item remains your responsibility until the Library has discharged it from your patron record.

If you receive a Recall Notice for an item you have on loan, you must return it by the date shown on the notice. Overdue fines of $3.00 a day will be charged for late return of recalled items.

Fines for Late Return of Library Material
The Library charges fines for the late return of any material. It is your responsibility to return material on time. The Library is under no obligation to notify borrowers when books are overdue - even if you have not received a notice, a fine will still be charged if  the items are returned after the due date.

Overdue items 25 cents per day
Lost books Replacement cost, plus overdue or recall fine, plus an administration fee
Overdue items recalled for other users $3.00 per day
Short Loan items  5 cents per minute ($3.00 per hour)

Payment of Fines
Library fines and bills may be paid at the Lending Desk by EFTPOS. Fines of $10 or more automatically results in suspension of borrowing privileges until they are paid.

 Lending Services Staff

Lending Services staff are available to help patrons with all procedures related to borrowing, recalling and returning books, and library fines. In addition, Lending Services staff are responsible for shelving, locating missing books, and monitoring compliance with the University of Auckland Library Regulations.
